I am a massive advocate for the importance of embracing and mastering AI to be a more efficient business or a more relevant employee.
In a short number of years, anyone not taking full advantage of the AI landscape will become obsolete.
I must admit that I don’t make enough use of it myself yet, although I do have a few favourite tools that I’ll come back to later.
But for anyone fighting against the use of AI or the relevance of it to their business or role, a meeting I had with a couple of my team members this week really hammered home how much it will change everyone's life—for the better.
I had a marketing and podcast meeting with Molly and Alicia, who run all things marketing, podcasting, and social media for me, and we were talking about ways to streamline processes to make things more efficient and give people more time to concentrate on higher-value activities.
Part of Alicia’s role is to research the guests who are coming on my podcast and prepare a list of interesting talking points, questions, relevant events in their lives, and anything else important for me to know about so that I can host a good show.
A decent set of notes has been taking up to a day by the time everything is researched and prepared. And added to that, because I like to adlib my shows and go with the flow of where the conversation takes us, I rarely use the questions that have been prepared and often don’t use a lot of the notes either.
So despite it being important to have the information there, it isn’t an efficient use of Alicia’s time, and I feel extra guilty because she does a load of work that I don’t use!
When discussing ways to speed up the process without leaving me lacking information, I suggested trying using AI to prepare the research notes for us, and we tested this very simple prompt in Gemini:
I am a podcast host, and I need your help with research for my guests. I would like you to help me prepare research notes, bullet points, and time lines and find interesting information that I can use as talking points. I also like to have a chronological look at their life. Each podcast typically lasts for an hour. My first guest is the boxer Kell Brook. Please prepare the notes for him. |
Now I know all you AI experts out there will be cringing at the simplicity of my prompt, but it was just for a test to show how much can be done with so little.
The results we got in 30 seconds were amazing. The tool:
Produced a full structure for the interview
He broke down a timeline of his life and career.
He listed his key highs and lows.
We talked about life outside the ring.
I gave a list of other talking points that may be worth bringing up.
And that is just with a crap prompt and very little effort. With an hour spent creating the perfect prompt (that will be completely reusable every episode by just replacing the name of the guest), the results will be spectacular.
I used Gemini (the new name for Google Bard) because its data is live and current. While Chat GPT has the biggest brand and is what everyone usually thinks of when they think of AI, its data actually stops in (I think) January 2022, so its output can often be limited.
So that’s a day’s work for Alicia that can now be done in a matter of minutes.
So does that mean she’s out of a job? …. ABSOLUTELY NOT!
And that’s the big thing here. So many people fight against embracing technological progress because they believe it will make them redundant. But for talented people, that couldn’t be any further from the truth.
It doesn’t make you redundant; it frees you up to spend more time on the things your unique talents and skill sets can add real value to.
You can automate monotonous processes. Use it to deep dive on data with a much higher level of accuracy than you ever could, and do it at lightning speed. It’s available 24/7 and is dirt cheap, if not free.
So if you aren’t already using AI tools in your role or your business right now, then what are you waiting for?
As promised, some of my favourite tools are:
Otter.AI: This funky little tool turns up in my Zoom meetings automatically. It listens, takes notes, and prepares a list of action points that it sends around to everyone after the call. And the best bit? It goes to the meeting even if I don’t! So I get a report of all I need to know without even having to be there.
Calendly.com - An oldie but a goodie that has been pimped up with AI recently. It’s the perfect calendar scheduling tool so that you don’t have to have lots of back and forth with people to find an available diary slot.
Opus.pro is a great tool for improving video editing speed. This takes one long video and breaks it into mini clips, usually with the most appropriate conversational pieces. It has been instrumental in helping my team ramp up the amount of social content we are creating now.
Gemini.google.com - Like Chat GPT, but better, I think. Perfect for all your research needs. But that’s research, guys—no copy and paste! I like to use it to give me a deep dive on a topic, then I pick my favourite bits and rework it in my own way.
There are 100's, if not 1000's, of tools out there, but these are just my most used and favourite. If you have some good ones, I want to hear about them, so reply to this email and tell me, please!

Look beyond the cash stacks and focus on what truly matters – finding joy in life's simple pleasures, nurturing meaningful relationships, and staying true to your values. After all, it's not about the size of your bank account; it's about the richness of a life well-lived.
